Comparing Supplier Offers Fairly

Two quotations can carry the same category name while describing substantially different products, packaging, units or terms. A fair comparison requires the buyer to normalize those differences.

Build a comparison grid

Record product identity, specification, quantity and unit, packaging, destination, timing, requested documentation, validity period and payment or delivery terms. Flag missing details rather than assuming that they are included.

Do not compare by photography

An attractive label or a familiar container shape does not prove availability, net quantity, composition, official approval or the grade of the final product. Those points belong in the actual offer and supporting documents.

Make the comparison repeatable

Send the same accurate inquiry brief to the companies being evaluated. Confirm clarifications in writing so the procurement team can compare like for like.
